Short answer: Work a backyard birthday party checklist backward from the date. Book the inflatable 6 weeks out, send invitations at 4 weeks, lock food and RSVPs at 2 weeks, confirm the delivery window and 20-amp breaker at 1 week, and check weather 2 days out.
I have been delivering inflatables in Kenner, Metairie, and across Jefferson and Orleans Parish since 1992. The parties that run smoothly are almost never the ones with the biggest budget.
They are the ones where somebody worked backward from the date.
What does a backyard birthday party checklist look like, week by week?
Here is the countdown I give my customers.
- 6 weeks out. Pick the date and a rain-alternate date. Count the guest list honestly, kids and adults separately. Book the inflatable. Measure the yard: length, width, and overhead clearance under any oak or power line.
- 4 weeks out. Send invitations with a firm end time on them. Confirm which unit you reserved and decide wet or dry. From May through September here, go wet.
- 2 weeks out. Lock the food plan, chase RSVPs, order the cake. Plan for the parents who stay, because about half do. Shade, seating, and a cooler that is not the kids' cooler.
- 1 week out. Confirm your delivery window. Verify a dedicated 20-amp breaker per blower. Mow the grass short. It sets up cleaner and drains faster.
- 2 days out. Check the forecast. This is your decision point, not party morning.
- The day before. Clear toys, dog waste, and patio furniture out of the setup area. Move cars off the driveway path. Unlock the side gate. Flag sprinkler heads with golf tees so my stakes miss them.
- Party day. Be home for the delivery window. Setup runs 20 to 30 minutes. Assign one adult to the unit before the first kid arrives.
How far in advance should I book the inflatable?
Six weeks for a Saturday between March and June, and again in October. Jefferson Parish books out solid in those windows.
Four weeks is usually fine for a weekday, a Sunday, or July and August. Two weeks often works in January.
If the party is tied to a theme, book earlier. There is one of each deluxe themed combo, and once it is gone for that Saturday it is gone.
Will the unit fit my yard, and what does setup need?
Measure before you book, not after. Most standard bounce houses need about 20 by 20 feet of clear level ground plus 4 feet of walking room on all sides. Water slides need more, often 35 to 45 feet of run.
You provide three things: a dedicated 20-amp breaker per blower, a level clear space, and a hose within reach for any wet unit. A blower sharing a circuit with a window unit will trip it, usually forty minutes in.
Tell us at booking if we are setting up on concrete. Grass gets staked; hard surfaces need sandbag ballast, which I load before leaving Kenner.
What happens if it rains?
You make the call two days out, not the morning of. That gives you time to shift the schedule instead of scrambling.
Your deposit is non-refundable, but it converts to a raincheck for a future date. You are not out the money.
Know the wind rule too. We shut inflatables down in sustained winds above roughly 15 to 20 mph, rain or not.
What does party day look like hour by hour?
For a party with a 2:00 start:
- 9:00 to 11:00 a.m. Delivery window. Someone over 18 home, gate open.
- Setup. 20 to 30 minutes for a standard unit, closer to 45 for a large slide or an obstacle course.
- 11:30 a.m. Walkthrough with the driver. He shows you the blower, the shutoff, and the anchor points.
- 12:00 p.m. Tables, chairs, coolers, shade.
- 1:30 p.m. Blower on. About 3 minutes to inflate.
- 2:00 p.m. Guests arrive. Shoes off, glasses off, no food or drink inside.
- 3:15 p.m. Cake and presents. Kids need the break.
- 3:45 p.m. Back in for the last stretch.
- 4:00 p.m. Done. Blower off, deflates in about 5 minutes.
How long should the party actually run?
Two hours for elementary-age kids. Ninety minutes for toddlers.
That feels short when you have paid for a full day rental. It is not. Past the two-hour mark the crying starts, the sunburns show up, and the birthday kid has stopped having fun.
Book the unit for the day. Run the party for two hours.
What do parents forget most often?
A designated adult watching the unit at all times. Not glancing over from the grill. Sitting there.
That is the single most-forgotten item on every backyard birthday party checklist I have seen, and the one that matters most. Keep the count reasonable, keep big kids and little kids apart, watch the sky.
Rotate the job every 30 minutes. With a wide age spread, add a kiddie bounce so the four-year-olds are not in with the ten-year-olds.
Frequently asked questions
How many kids can be in a bounce house at once? It depends on the unit and the ages, and the tag on the door tells you. As a working rule, 6 to 8 elementary-age kids in a standard bounce house, fewer if they are bigger. Sort by size, not grade.
Do I need a permit for an inflatable in my own backyard? No permit for a private residential backyard party in Jefferson or Orleans Parish. Public parks are different, and they usually require a reservation and proof of insurance. Our delivery minimum for parks and commercial venues is $500.
What if my yard has a slope? Small slopes are workable, but anything you would call a real grade is not. Water slides need level ground so the landing pool sits right. Send a photo when you book and we will tell you before the truck rolls.
Can I get the unit delivered the night before? Sometimes, for an extra fee, if the schedule allows. It is more common in Metairie, Harahan, and River Ridge where routes run tight on Saturday mornings. Ask when you book so we can plan the route around it.
What is the deposit and when is the balance due? A $50 minimum deposit on orders under $500, or 25% on orders over $500. The balance is due at delivery. Residential delivery minimum is $150, and parks or commercial venues are $500. Out-of-area fees may apply past our core service area.
